Refund Policy

This Refund Policy applies to all subscriptions purchased through CloseCoach AI ("CloseCoach," "we," "us," or "our"). Please read it carefully before purchasing a subscription.

1. Free Trial

  • All new users receive a 14-day free trial with no credit card required.
  • During the trial, you have full access to all features of your selected plan.
  • At the end of the trial, you must subscribe to continue using the Service. No automatic charges will occur without your consent.
  • We encourage you to fully evaluate the Service during your trial period before committing to a paid subscription.

2. Cancellation

  • You may cancel your subscription at any time through the Billing section in Settings or by contacting support.
  • Cancellation takes effect at the end of the current billing period. You will retain access to the Service until then.
  • No partial refunds are given for unused time within a billing period.
  • After cancellation, your data is retained for 30 days. After that, it is permanently deleted.

3. Refund Eligibility

3.1 Within 7 Days of First Payment

If you are not satisfied with the Service, you may request a full refund within 7 days of your first payment (after the free trial ends). This applies to:

  • Solo monthly subscriptions
  • Team monthly subscriptions (per-seat)
  • Solo and Team annual subscriptions

To request a refund, email billing@closecoach.ai with your account email and reason for the refund.

3.2 After 7 Days

After the 7-day window, refunds are generally not available. However, we may consider refunds on a case-by-case basis in the following situations:

  • Service outage: Extended downtime (more than 48 consecutive hours) that significantly impacted your ability to use the Service.
  • Billing error: You were charged incorrectly or for a plan you did not select.
  • Duplicate charge: You were charged twice for the same billing period.

3.3 Non-Refundable

The following are not eligible for refunds:

  • Simulator overage charges (usage-based billing at $0.52/minute).
  • Partial billing periods after cancellation.
  • Accounts terminated for violation of our Terms of Service.
  • Failure to cancel before a renewal date.

4. Annual Subscriptions

  • Annual subscriptions are billed upfront for the full year.
  • Refund requests for annual plans within the first 7 days of the initial purchase will receive a full refund.
  • After 7 days, annual subscriptions are non-refundable. You may cancel to prevent renewal, but no prorated refund will be issued for the remainder of the term.
  • Annual renewals: We will send a renewal reminder email 14 days before your annual plan renews. If you do not cancel before the renewal date, you will be charged for another year.

5. Team and Enterprise Plans

  • Team plans: Refund eligibility applies per the above terms on a per-seat basis. Seat reductions take effect at the next billing cycle.
  • Enterprise plans: Refund terms are governed by your individual Enterprise agreement. Contact your account manager for details.

6. How Refunds Are Processed

  • Approved refunds are processed through Stripe to your original payment method.
  • Refunds typically appear within 5-10 business days, depending on your bank or card issuer.
  • You will receive an email confirmation when your refund is processed.

7. Chargebacks

We encourage you to contact us before filing a chargeback with your bank. Chargebacks incur fees and may result in account suspension. We are committed to resolving billing issues quickly and fairly.

8. Changes to This Policy

We may update this Refund Policy from time to time. Changes will be posted on this page with an updated date. Material changes will be communicated by email.
